The challenge
Due to the COVID-19 cancellations of all three of its scheduled 2020 in-person physical events, Informa Tech made the strategic choice to partner with EPEAK Studio in order to come up with a comprehensive virtual event replacement plan.
In order to succeed, Informa Tech needed a production company, like EPEAK Studio, able to produce and manage the three events in four months’ time, with each event being a blend of live and simulive content.
By virtualizing its events, Informa Tech could retain its event schedule without sacrificing any content quantity and quality.
What we did
By partnering with EPEAK Studio and adhering to a well-tested production process, each of Informa Tech’s three events (ICMI, SMW, SWL) were successfully and efficiently prepared within the expected four to eight week timeframe.
EPEAK Studio delivered on :
• Making preparation calls with live keynote speakers, including checking in with each individual speaker, fine tuning their technical setup, and briefing each participant on speaker etiquette.
• Producing pre-recorded simulive session content with our expert technicians assisting each speaker during the process.
• Providing real-time production support for the live keynotes and pre-recorded content on the day of the event.
EPEAK Studio also offered a comprehensive speaker data management system, allowing Informa Tech to monitor and review – in almost real-time – the progress made by EPEAK Studio’s team on content creation and speaker onboardings.
Our extensive technical expertise allowed EPEAK Studio to manage a total of five simultaneous tracks (virtual equivalent of five conference rooms), seamlessly mixing pre-recorded sessions with live presentations.
Results
EPEAK Studio successfully produced and managed all three events based on Informa Tech’s vision. Overall, EPEAK Studio assisted with the onboarding and recording of 200 speakers across 190 sessions, creating over 100 hours of conference content during the process.
