The Challenge

Reopening the doors after the pandemic

After two years of successfully pivoting to virtual events, Informa took an industry lead and hosted one of the first in-person events in a long time.

Informa reached out to EPEAK Studio to interface with the on-site A/V in Orlando. For this project, our mission was to oversee the stream production of its main keynotes and the recording of select breakout sessions taking place at the venue, the Omni Orlando Resort at ChampionsGate.

Setting the standard for hybrid events

By pioneering hybrid events, Informa successfully retained its overall audience year after year. To achieve this, Informa made sure to deliver quality content to both on-site and remote attendees, without loss of value or FOMO.

This first hybrid event set the standard expectations for Informa as to what the group can offer for future hybrid event attendees throughout 2022.

What we did

Through its partnership with EPEAK Studio, Informa took advantage of EPEAK’s world-class production process and successfully delivered its very first hybrid event.

EPEAK Studio delivered on :

Preparing the production logistics with the on-site A/V vendor. This includes show-running, connectivity requirements, and processes and responsibilities.
Holding weekly update meetings with Informa, in order to follow up on the various progresses made with the project.
Providing project management tools to enter and track content, speakers, and deliverables.
Producing on-site keynote streams
Recording keynotes and delivering same-day VOD replay.
On-site recording of the event’s three breakout rooms, as well as editing and next-day delivery.
Using EPEAK Studio’s extensive technical expertise to manage the stream delivery of the on-site keynotes for the remote audience.

Also, this same audience was able to watch select breakout sessions in replay the next day, without missing out on any of the action.

Results

EPEAK Studio successfully delivered on all of Informa’s requirements for this project. Indeed, we delivered high-definition live streaming to a nation-wide audience.

In addition, sessions were available next day for remote VOD replay. As a result, it made it very easy for attendees to catch up on missed sessions in their own time.
