The Challenge

GoSec, a premier cybersecurity conference organized annually by GoSecure in Montréal, Québec, has partnered with EPEAK Studio since 2020 to deliver seamless event experiences. For GoSec 2024, EPEAK Studio managed a range of responsibilities, from strategic planning to on-site logistics, ensuring exceptional results.

This year, GoSec expanded its focus on a digital experience and worked with EPEAK Studio to address previous event challenges. New services such as BadgeIt! for on-demand badge printing and EventSign for digital signage were introduced, enhancing on-site registration and venue navigation for all attendees.

The primary objectives for GoSec 2024 were to increase both in-person and virtual attendance while enhancing the attendee experience. Unlike previous years, live streaming was made available in every conference room, with session recordings scheduled to go online the next day, allowing both on-site and remote attendees to view sessions they missed.

The biggest challenge was improving the check-in process, which had been a pain point in the past, with long wait times and inaccurate badge information causing attendees frustration. Additionally, GoSec aimed to transition from using Eventbrite due to rising costs and limited customization options. The expanded production requirements, tight deadlines, and new services prompted EPEAK Studio to scale up operations while prioritizing process efficiency.

EPEAK Studio provided a comprehensive range of services to ensure a seamless, high-impact event.

Project Management with Automated Tools

EPEAK Studio utilized ProjectSheet, our project management platform that centralizes all event-related data. Real-time updates were accessible to all stakeholders, and integration with the event platform Swapcard ensured that all information remained current. By automating communication and eliminating paper-based updates, the platform reduced both redundancy and the risk of human error.

AV Production

Each of the six conference rooms featured a live-streaming setup supported by EPEAK Studio’s IP-based AV workflow. This streamlined setup minimized equipment requirements while delivering high-quality results. Sessions were recorded, edited, and shared online the following day, with an experienced stage manager coordinating main stage speakers to ensure smooth, timely transitions.

Badge Printing

A major highlight was the implementation of BadgeIt!, EPEAK Studio’s on-demand badge printing solution. Previously, attendees experienced delays due to pre-printed badges, which occasionally contained outdated information. With BadgeIt!, wait times were significantly reduced, with instant badge printing incorporating real-time information validation. This made on-site registration more efficient and stress-free for attendees and event staff.

Registration & Event Platform

EPEAK Studio also developed a customized registration system, enabling greater personalization in managing tickets, coupon codes, and data tracking per GoSec’s requirements. Integration with the Swapcard platform ensured seamless real-time data flow, and EPEAK Studio managed setup, configuration, and guest communications, creating a cohesive experience for attendees.

Digital Signage

EPEAK Studio deployed EventSign across the venue, a virtual signage solution displaying daily schedules, session details, and sponsor information. Linked to the Swapcard platform, these digital displays allowed real-time updates to room agendas without manual input, saving time and resources while providing an eco-friendly alternative to printed materials.

Interpretation

To enhance accessibility, EPEAK Studio implemented PolyPlay, a digital interpretation solution for on-site and remote attendees. In each room, attendees could scan QR codes on screens and signage to listen to live interpretation via their personal devices and headphones. For online attendees, the PolyPlay player integrated directly into the event platform, allowing seamless language switching for a fully inclusive experience.

Design

EPEAK Studio managed the design and setup of GoSec 2024’s conference spaces. Speakers could choose between a lectern and elegant seating, creating a versatile and professional environment. EPEAK Studio also crafted all visual elements, ensuring a consistent look and a clear representation of GoSec’s brand identity throughout the venue.

Photography and Videography

EPEAK Studio’s in-house photographer and videographer captured the event’s atmosphere and interviewed speakers, exhibitors, and GoSec staff to provide behind-the-scenes insights. The resulting photos and promotional videos were used to create online content and marketing materials for future events.

Results

By leveraging our expertise in event production and utilizing innovative tools such as BadgeIt!, EventSign, PolyPlay, and ProjectSheet, EPEAK Studio successfully delivered an ambitious GoSec 2024. The conference attracted over 1,400 in-person and virtual attendees, achieving GoSecure’s goal of broadening the event’s reach and providing a superior experience to cybersecurity professionals.

Swapcard

Headquartered in Paris and founded by three childhood friends, Swapcard offers a combination of virtual and hybrid events, event mobile and web app, meeting and matchmaking software and an exhibitor retrieval system. As of late 2019, Swapcard has offices in Dubai and Canada, and was in the process of opening offices in the United States.

Located in the heart of a city known for its energy, joie de vivre and forward-thinking spirit, the Palais has been actively contributing to Montréal’s effervescence since Day One. Today, when people meet at the Palais, they come together in a carbon-neutral architectural masterpiece housing multipurpose facilities suitable for events of all sizes.

While the Palais does not offer accommodation rooms directly, it is located next to over 16000 hotel rooms within walking distance, including 4000 accessible via the underground pedestrian network.
