Gosec is a leading yearly cybersecurity conference in Montréal, Québec.

It offers two days of rich learning and networking opportunities for cybersecurity professionals.

The Challenge

Learn how EPEAK Studio‘s extensive event management experience made a difference for GoSec 2023. Indeed, every year, Gosecure organizes a leading cybersecurity event, GoSec 2023, in Montréal, Québec.

For GoSec 2023, our client decided to focus on the in-person aspects, following industry trends. For that reason, this conference was not live streamed, but had next-day online replays instead.

Epeak Studio has been a production partner of GoSec events since 2020. This year, Gosecure decided to trust us once more and put us in charge of the main stage design, as well as the management of the audio system.

What we did

For GoSec 2023, EPEAK Studio took care of a wide range of event management and production services, going beyond simple video production.

Stage design

We directed a team of external service providers and took charge of the design and build of GoSec 2023‘s main stage. This stage is where the most high-profile speakers were invited to present.
We also designed and delivered visual elements for 5 side rooms, including branded roller banners and foam core prints for the lecterns.

Stage Manager

We provided an in-house Stage Manager, in charge of welcoming speakers. Our Stage manager also closely follows the pre-established run of show to make sure that everything goes smooth.

Event platform

GoSec 2023 was not live streamed. Instead, the online event platform was used as a support to the on-site event.
This includes publishing the event’s agenda, handling registration, and hosting next-day video replays.

In order to maximize efficiency, we leveraged our in-house project and event management solution, ProjectSheet.io, as well as its native Swapcard integration.

Recording and video production

On-site, we were in charge of the production and filming of all rooms. To achieve that, we deployed a lean team of expert video producers, sound technicians and camera operators.

Thanks to our optimized production and event management processes, each room only required an average of 2 people. This lean team was able to take care of the whole production (microphones, cameras, video production).

Finally, we leveraged our onsite and global resources efficiently in order to deliver VOD edits at the end of each day.

Sound management

We deployed our in-house, ultra-lean, cutting-edge sound management system in all event’s rooms.

Compared to traditional sound systems, our solution is 5x smaller, lighter, and easier to operate with less resources. This results in considerable savings for our client.

For each room, the entire audio mixing equipment fits in little more than the size of an A4 sheet of paper. No need for a dedicated audio table anymore.

Event photography and highlights video

For marketing purposes, we deployed an event photographer from our in-house pool of talents, in charge of capturing the atmosphere of the event.

Additionally, we provided a dedicated event videographer. They provided behind-the-scenes footage in order to create event marketing material for future editions.

Results

EPEAK Studio’s ultra-efficient processes in event management made a major difference and contributed significantly to the success of GoSec 2023.

Indeed, we managed to organize everything in under a month, from the first client meeting to the delivery of high-quality services during event days.

In fact, our streamlined and automated event management processes saved a considerable amount of time. This made high-quality delivery possible under such short timelines.

Swapcard

Headquartered in Paris and founded by three childhood friends, Swapcard offers a combination of virtual and hybrid events, event mobile and web app, meeting and matchmaking software and an exhibitor retrieval system. As of late 2019, Swapcard has offices in Dubai and Canada, and was in the process of opening offices in the United States.

Palais des congrès de Montréal

Located in the heart of a city known for its energy, joie de vivre and forward-thinking spirit, the Palais has been actively contributing to Montréal’s effervescence since Day One. Today, when people meet at the Palais, they come together in a carbon-neutral architectural masterpiece housing multipurpose facilities suitable for events of all sizes.

While the Palais does not offer accommodation rooms directly, it is located next to over 16000 hotel rooms within walking distance, including 4000 accessible via the underground pedestrian network.
