The 2024 IECF Policy and Philanthropy Summit was a significant event for the Inland Empire Community Foundation. It brought together 600 attendees. For this hybrid event, the client required flawless execution of AV services, and a reliable livestream for global reach.
With a main ballroom and three breakout rooms, the event required navigation and technical support across all locations. That’s why we deployed our event technology stack, including digital event signs by Eventsign.tech, as well as our team of expert on-site support staff.
To guarantee a smooth process, EPEAK Studio deployed ProjectSheet.io for all phases of event planning and execution. This cloud-based tool centralized all of the event’s critical information. Specifically, this included equipment lists, technical schedules, and staffing assignments.
Consequently, the entire EPEAK team, along with client stakeholders, had real-time visibility into the project’s progress. This proactive approach minimized the potential for on-site issues before the summit even began.
The core of our service was the high-quality AV and livestream production in the main ballroom. We managed all aspects of visual and sound presentation for the 600 in-person attendees.
Additionally, we set up a professional, multi-camera livestream. This broadcast the main proceedings to a wider, remote audience. We maintained a high standard for production quality. This ensured great audio and video quality for both in-person and virtual participants.
Beyond the main plenary session, the summit required technical support across three distinct breakout rooms. EPEAK Studio deployed dedicated teams and equipment to manage AV needs in these smaller spaces.
This included providing presentation support, managing local sound systems, and providing dedicated technical staff. Therefore, speakers and participants experienced the same level of support regardless of which room they were in.
For improved attendee flow and on-site communication, we implemented digital event signs powered by Eventsign.tech. This is EPEAK Studio’s in-house dynamic event sign solution. We placed screens strategically throughout the venue, to share real-time information with attendees.
These screens displayed up-to-the-minute scheduling changes, room assignments, and sponsor messages. This technology ensured that all 600 attendees could easily navigate the multi-room conference, and quickly find the relevant sessions.

Its convenient location provides easy access to nearby hotels, including the adjacent Marriott, as well as dining and cultural attractions like the Mission Inn.
