The Challenge

Building on past success, Cybereco organised Cyberconference 2025 at the Palais des Congrès de Montréal again. This year, they also added a secondary location for the first time, at the Westin.

The main goal for EPEAK Studio and Cybereco was efficiency. Indeed, they needed an easier way to manage speaker and exhibitor information.

That’s why we had to make sure the event platform was set up perfectly with no manual work from the organizing team. Also, the entire experience, from the app to the main stage, had to be fully bilingual in French and English.

Last but not least, Cybereco also decided to focus on building traction around their own exhibitor booth, and we helped them with that.

What we did

We deployed our event technology stack of services to deliver maximum value to our client. We also introduced a major new technology that made the entire onboarding experience simpler and much faster.

Full Automation for Onboarding

This year, we brought in a powerful new tool for speakers and exhibitors onboarding. Indeed, we introduced My.Epeak, the single platform for everyone to submit their details.

  • One-stop shop: Speakers and exhibitors used the portal to upload everything: bios, photos, files, and company details.

  • Automatic Setup: This system talked directly to the event platform. It automatically set up all session and exhibitor data. This created a fully automated system. It meant the organizers needed 0 manual actions to get the content configured. This saved time and prevented mistakes.

Project Management

We used our automated tools to centralize all event data for Cyberconference 2025. As a result, it kept the information flowing from the new portal to all other systems in real-time. This level of automation was key to managing content effortlessly across the plenary room and 5 breakout rooms.

Full Bilingual Experience and Interpretation

We made sure the event was accessible in both French and English, as it was hosted in Québec with an international audience.

  • Live Plenary Interpretation: All plenary sessions offered professional live interpretation (French to English and English to French).

  • Easy Access: We used our PolyPlay solution. On-site attendees could easily switch languages on their mobile device. With PolyPlay Player, the online audience could easily choose their preferred language for live sessions or VOD.

AV Production Across Two Locations

EPEAK Studio managed the technical side of all the conference rooms in both locations. Every room had a modern livestreaming setup and dedicated tech staff, in the Westin and the Palais des Congrès de Montréal.

Finally, we recorded and edited all sessions quickly to share them online after the event.

On-Site Experience

The experience on the ground was smooth and fast for attendees, thanks to two of our popular event technology services:

  • Quick Badge Printing: Our BadgeIt! system printed badges on demand. This kept the check-in line moving fast, even during peak times.

  • Digital Signs: EventSign was placed outside all 6 rooms. It showed session times and sponsor information. This information was always accurate because it updated automatically and in real-time from the event platform.

Enhanced Booth Visibility and Engagement

Cybereco, the event organiser, decided to focus on maximising traction around their own exhibitor booth. To achieve that, we provided consulting services, helping Cybereco refine the concept and the execution of their booth design and layout.

Results

Cyberconference 2025 successfully raised the bar for operational quality and attendee engagement, spreading across two venues for the first time.

With our advanced automation, professional management, and excellent AV and interpretation services, EPEAK Studio delivered a successful and hassle-free event. In turn, this allowed Cybereco to fully focus on creating a rich, relevant, and engaging conference.

Headquartered in Paris and founded by three childhood friends, Swapcard offers a combination of virtual and hybrid events, event mobile and web app, meeting and matchmaking software and an exhibitor retrieval system. As of late 2019, Swapcard has offices in Dubai and Canada, and was in the process of opening offices in the United States.

Located in the heart of a city known for its energy, joie de vivre and forward-thinking spirit, the Palais has been actively contributing to Montréal’s effervescence since Day One. Today, when people meet at the Palais, they come together in a carbon-neutral architectural masterpiece housing multipurpose facilities suitable for events of all sizes.

While the Palais does not offer accommodation rooms directly, it is located next to over 16000 hotel rooms within walking distance, including 4000 accessible via the underground pedestrian network.
