The Challenge
IAAPA is a large scale, global organisation with members and events in all regions of the world.
To manage their events, IAAPA relies on several tools and data sources. This includes registration of attendees, membership database, and on-site exhibitors and booth management.
Our mission is to combine information from these data sources and make them converge in one central point: Connect+, IAAPA’s dedicated event app.
What We Did
EPEAK Studio delivered a range of high-value services before, during and after the event.
Our team of experts carefully analysed the data sources available and assessed the quality, availability and redundancy of data for each system.
To illustrate, these include the event’s Registration & Ticketing system, as well as a third-party exhibitor and membership database.
Then, our team designed a set of time & cost-efficient automated processes to transport this data to its final destination, Connect+.
For IAAPA, Connect+ is the one-stop companion event app, at the centre of the attendee & exhibitor experience during IAAPA Expos.
Our team implemented the automated processes identified in the design phase using industry-leading tools. This includes low-code platforms, modern APIs, and cloud-based infrastructures.
Each automated process is designed to be both time & cost-effective, and include built-in data integrity checks and error logs.
As a result, our client gets a clear and real-time status on various KPIs including data quality and data integration progress, as well as a clear list of errors with the appropriate recommended actions.
Overall, we imported 600+ exhibitors and 14k+ registrants from 3 different data sources, with complex import rules and built-in data checks.
During event days, we deployed a team of experts to assist attendees and exhibitors with anything related to Connect+.
Thanks to that, any last-minute issue with Connect+ were solved immediately, which allowed all participants to make the best use of their dedicated event app.
Throughout all stages of the project, our team of experts continuously analysed and challenged current processes in order to identify opportunities for improvement.
Because we are involved in several events of the same series, this forms an ongoing continuous improvement process. As a result, data quality and time efficiency keeps on improving as we implement those proposed changes.
Results
EPEAK Studio’s expertise in process automation yielded excellent results for Expo Europe 2023, with a successful integration of three completely separate systems.
Attendees and exhibitors benefitted from a unified event experience in Connect+, completely integrated with their registration data and other information.
