We... ## The challenge IO Interactive's very first showcase in 2025 was a high-stakes event for the studio, and they needed the right partner. That's why IOI teamed up with EPEAK Studio to make this showcase happen. Aside from the usual event planning steps, the event faced a major logistical challenge. Indeed, the IOI Showcase was sandwiched between two other major events: the Summer Game Fest and another large party at the Grammy Museum. That's why we had to perfectly time the logistics. Specifically, we needed to attract and move all the key media and influencers from the first event to ours, right before they headed to the next one. Read on to earn how EPEAK Studio helped IOI make their first ever showcase a success! ## What we did To deliver this high-stakes event, EPEAK Studio provided a comprehensive, end-to-end management solution. This includes handling everything from venue logistics and guest hospitality, to the complete technical production of the live show. Venue and Logistics First, we managed the core foundation of the event. We scouted multiple locations and ultimately selected the iconic Hollywood Roosevelt. Once the venue was secured, our team managed all the logistics. This included sourcing and coordinating every vendor, handling all payments, and arranging security for the showcase. Event Design and Layout Next, we focused on the guest experience. We took detailed measurements of the spaces and reviewed all furniture. Based on this, we created precise floor maps. Our team designed the complete event layout for both the Historic Lobby and the Blossom Ballroom, which included setting up dedicated demo areas. We also managed the production of all print assets. Hospitality and Transport Media and influencers management was a critical task. We handled all accommodation for the client, their team, and their partners. We also organized all catering for food and beverages. To manage the challenging timing of the event, we scheduled buses to transport attendees to and from the hotel. This also required us to secure special permits for bus parking. Furthermore, we managed all VIP guests, which included arranging special dinners and suite stays during the lead-up to the event. Show Production Finally, we produced the entire live show. The technical setup was extensive. We utilized three large LED screens and a five-camera system, including static cameras, a PTZ camera, a jib, and a mobile Steadicam. Our team managed the full sound and lighting systems. We also handled the live show calling, cueing numerous assets throughout the presentation. The entire event was livestreamed globally. To conclude the show, we integrated a special end-of-show performance. Afterward, we arranged the client's private entertainment at The Spare Room. ## Results Ultimately, the IOI showcase 2025 was a definitive success. We impressed the media and influencers who attended, and most importantly, left the client very happy. The event’s reach was significant. We hosted over 300 guests on-site while behind the scenes, our 20+ person crew ensured a flawless production. The show was streamed on major channels like IGN, quickly earning over 300,000 views on YouTube alone.
