Our strategy used ProjectSheet.io for planning and Eventsign.tech for dynamic on-site communication across the ballroom... ## The challenge The 2024 IECF Policy and Philanthropy Summit was a significant event for the Inland Empire Community Foundation. It brought together 600 attendees. For this hybrid event, the client required flawless execution of AV services, and a reliable livestream for global reach. With a main ballroom and three breakout rooms, the event required navigation and technical support across all locations. That's why we deployed our event technology stack, including digital event signs by Eventsign.tech, as well as our team of expert on-site support staff. ## What we did Event Planning and Project Management To guarantee a smooth process, EPEAK Studio deployed ProjectSheet.io for all phases of event planning and execution. This cloud-based tool centralized all of the event's critical information. Specifically, this included equipment lists, technical schedules, and staffing assignments. Consequently, the entire EPEAK team, along with client stakeholders, had real-time visibility into the project's progress. This proactive approach minimized the potential for on-site issues before the summit even began. AV and Livestream Production The core of our service was the high-quality AV and livestream production in the main ballroom. We managed all aspects of visual and sound presentation for the 600 in-person attendees. Additionally, we set up a professional, multi-camera livestream. This broadcast the main proceedings to a wider, remote audience. We maintained a high standard for production quality. Multi-Room Technical Support Beyond the main plenary session, the summit required technical support across three distinct breakout rooms. These screens displayed up-to-the-minute scheduling changes, room assignments, and sponsor messages.
